For a rice export shipment the common documents are: IEC, APEDA RCMC, a commercial invoice and packing list, the sales contract or purchase order, a bill of lading or airway bill from the shipping line, a Certificate of Origin, and a phytosanitary certificate from the plant quarantine department. Many buyers also ask for a quality or inspection certificate (for grain length, broken percentage, moisture) and sometimes a fumigation certificate and a non-GMO declaration. For payment you will have the Letter of Credit or bank documents. The shipping bill is filed in ICEGATE customs, usually by your Customs House Agent. Important: rice export is also subject to government trade policy, India has at times had export bans, minimum export prices or duties on certain rice categories, so always check the current DGFT notification for non-basmati and basmati rice before committing to a buyer. Confirm the exact document list with your CHA and the buyer's country requirements.
Add the phytosanitary certificate, buyers always want it for rice. Apply through the plant quarantine office, keep your lot ready for inspection.
Watch the DGFT policy carefully. The non-basmati rules have changed many times. A contract can become loss making overnight if a duty or MEP is announced. Keep an exit clause.
