Good record keeping tells you which crop and which field actually makes you money, so keep it simple but regular. Maintain a daily diary or notebook with date, activity, item, quantity and rupees for every expense like seed, fertiliser, labour, diesel, irrigation and transport, and for every sale with quantity, rate and buyer. Keep a separate page per crop or per field so you can compare. Save all bills and mandi receipts in one folder. At season end add up costs and income per crop to find real profit per acre, which guides next year planning. A basic mobile note or a cheap accounts app works as well as a register. Also record yields and input doses so you build your own data over years. This habit also helps when applying for loans, insurance claims or KVK advice.

I used to guess my profit and was always wrong. Once I started a simple notebook with one page per crop, I realised my chillies earned more than cotton per acre. Now I plan based on real numbers. Write it the same evening, do not trust memory.

I keep a small folder for all bills and a phone note for daily spending. When the loan officer asked for records, I had everything ready. Even labour payments, write them down. It feels like extra work but it pays off at season end.

A simple trick that helped me is keeping a small cash box only for farm money, separate from house spending, so the accounts stay clean. Once a month I total it up. Without separating, farm and home money mix and you never know the real profit.

I record the weight at every sale and the rate, then I can argue with the trader if his calculation is off. Photographs of the mandi slip on my phone are enough proof. Over three years this record showed me which crop to drop and which to expand.
